Venturefest Yorkshire, York Racecourse
Background: 1350 delegates - 1 day conference and exhibition. Over 1300 delegates and exhibitors came together for Yorkshire's top event for entrepreneurs. The aim of the conference was to connect knowledge and technology based entrepreneurs, start ups and growing businesses with support from professionals, financiers and industry experts so that together their ideas can grow into successful flourishing businesses.
As a Yorkshire based company Symphony was pleased to provide online registration services for the event:
What Symphony needed to do:
- Allow delegates to register for the conference and associated social functions.
- If required allow delegates to pay for their ticket(s) online.
- Collect data for use on badges and social function tickets.
- Collect data on delegates registering such as their sector of industry and how they heard about the event.
- Provide a service at the event to register delegates turning up on the day and who had not pre-registered.

- Using our expertise to integrate payment pages onto websites delegates were offered the chance to pay their conference fees online and in a secure environment. No more waiting for invoices and relying on the post - payment was instant.
- Using Symphony's database high quality badges were produced pre-event for delegates to pick up at registration - their badges were then scanned and the information fed back into Symphony to record attendance.
- The data collected on each delegate allowed the event team to target specific audiences for email communications and will also help to shape the next Venturefest event.
- Delegates turning up on the day were able to register quickly and efficiently and provided with a printed and personalised badge before entering the conference.
The take up for this event was relatively slow until a huge marketing push saw 70% of the delegates register in the last four weeks leading up to the event. Without using an online system the event team would have been swamped by delegate registrations. By using Symphony the need for administration of these later bookings was reduced and the team could happily cope with the influx of late registrations.
