The British Pharmaceutical Conference & Exhibition
Background: Manchester ICC, 1270 delegates – 3 day conference. Symphony provided the BPC with their first online registration facility for their annual conference. The conference is the highlight of the pharmaceutical events calendar and Healthlinks event management team utilised Symphony to ensure they were not swamped by the administrative tasks often associated with an event of this size.
What Symphony needed to do:
- Allow delegates to register online but also allow Healthlinks administrators to input delegates’ details directly into the database who have returned forms via fax or post.
- Collect and collate an ‘Occupational Profile’ on each delegate and allow event team access to this information in clear and concise reports that could be passed on to their client quickly and efficiently.
- Give delegates who registered early a discount on their ticket but for this to disappear once a certain period of time had elapsed.
- Allow discounts dependent on the ‘type’ of delegate attending – for example students were eligible for a 50% discount.
- Provide easily accessible information on how many people would be attending each day of the conference.
Benefits delivered:
- Easy to use online form for delegates to register on.
- Symphony’s highly usable interface allowed event team to process manual as well as automated registrations.
- The discounts for early bookings were entirely automated, at a given point the price of tickets changed and no delegates could obtain discounts beyond this point.
- By using Symphony’s flexible reporting system, Healthlinks could obtain information on any aspect of the conference – it allowed them to give their client a detailed breakdown of the background of the people attending the conference.
- Healthlinks were able to manage the combinations of ticket prices easily and efficiently, Symphony also allowed them to ‘mark’ delegates who had paid for their ticket.
- Of the 1270 delegates who registered over 50% registered using the online facilities; this saved a huge amount of time for the event administrative team as in previous years all of the delegates had to be input manually onto Excel spreadsheets.
